Dec. 13: Fall 2024 grades due

Faculty must carefully read the information below in its entirety.

Due to state reporting requirements and deadline, any student on your roster who does not have a grade posted by 12 p.m. Friday, Dec. 13, will receive a grade of 鈥淣R,鈥 Not Reported. You will need to submit a grade change form to change the grade from 鈥淣R鈥 to the appropriate grade.

Be aware that students who receive a grade of 鈥淣R鈥 because their grades were not recorded in the system may be dropped from their spring 2025 courses for failure to meet required prerequisites. Students who receive a grade of 鈥淣R鈥 because grades were not reported may also lose their financial aid.

Additional reminders about grades

  • A student who has withdrawn from a course will receive a grade of 鈥淲鈥 or 鈥淲F.鈥 The 鈥淲鈥 or 鈥淲F鈥 will remain as the grade and the grade cannot change.
  • If a student is auditing a course, a grade of 鈥淰鈥 should be assigned.
  • If a student has stopped attending class but remains on the roster, a grade of 鈥淔N鈥 must be given which will indicate the student has failed due to nonattendance. When assigning a grade of 鈥淔N,鈥 you will be required to enter the last date of attendance.

Why assign an 鈥淚鈥 grade?

Assignment of an 鈥淚鈥 grade indicates that the instructor and the student have worked out a plan for completing the remaining requirements of the course. The student should have completed satisfactory work up to the last two weeks of the semester.

Steps to assign an 鈥淚鈥 grade

  • Submit an Incomplete Contract to your school dean. Note that assignment of the 鈥淚鈥 grade is at the discretion of the instructor and the dean.
  • If approved, the dean鈥檚 office will forward the Incomplete Contract to the Registrar鈥檚 office.
  • After the end-of-term grades are processed, a report of students who have received an 鈥淚鈥 grade without an approved Incomplete Contract will be sent to the dean鈥檚 office from the Registrar鈥檚 office.
  • Once a student has completed the work, an official grade change form with both the instructor鈥檚 and dean鈥檚 signatures should be submitted to the Registrar鈥檚 office. The grade change form should request that the previous grade of 鈥淚鈥 be changed to the new grade.
  • The deadline for removing the 鈥淚鈥 grade is the last day of the next semester. At that time, the 鈥淚鈥 grade will be converted to an 鈥淔鈥 grade.
  • Requests for approval of an extension must be made to the dean鈥檚 office.

What is an 鈥淔N鈥 grade?

FN 鈥 failure due to nonattendance (0.00 quality points)

Why assign an 鈥淔N鈥 grade versus an 鈥淔鈥 grade?

Faculty with students who are failing will need to determine whether to assign a grade of 鈥淔鈥 or a grade of 鈥淔N.鈥

A grade of 鈥淔鈥 should be assigned if the student attended classes, submitted work, took the final exam but failed the course.

Note that federal regulation now requires 色库TV (GGC) also enter the last day of attendance for grades of 鈥淔.鈥 If you do not enter the last date of attendance for any student receiving an 鈥淔,鈥 your grade rosters will not submit for processing.

A grade of 鈥淔N鈥 should be assigned for failure due to nonattendance or nonparticipation. If a student began the class but stopped attending or participating and did not withdraw from the class, then a grade of 鈥淔N鈥 should be reported. When assigning a grade of 鈥淔N,鈥 you will be required to enter the last date of attendance or participation.

Both an 鈥淔鈥 and an 鈥淔N鈥 grade will calculate into the cumulative grade point average at GGC and carry 0.00 quality points per credit hour.

If you have any questions regarding end-of-term grades, please email the Registrar鈥檚 office.
